1. Introduction

Realtevo Investments LLC d/b/a RealtevoOS (“we,” “us,” or “our”) operates the RealtevoOS platform at app.realtevoos.com (the “Service”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service. By accessing or using the Service, you agree to this Privacy Policy.

2. Information We Collect

2.1 Information You Provide

  • Account Information: Name, email address, company name, phone number, and password when you create an account.
  • Billing Information: Payment card details processed securely through Stripe. We do not store your full card number on our servers.
  • Property Information: Property details, reservation data, guest communications, and related operational data imported from your property management system (e.g., Guesty).
  • Communications: Messages, support requests, and feedback you send to us.

2.2 Information from Third-Party Services

  • Google Account: When you sign in with Google, we receive your name, email address, and profile picture from Google. If you connect Google Drive, we access your Drive files in read-only mode to display documents within the platform.
  • Guesty: Property listings, reservations, guest data, and communications from your Guesty account.
  • Stripe: Payment processing data, invoice status, and subscription information.

2.3 Automatically Collected Information

  • Usage Data: Pages visited, features used, AI agent interactions, timestamps, and session duration.
  • Device Information: Browser type, operating system, IP address, and device identifiers.
  • Cookies: Session cookies for authentication and preferences.

3. How We Use Your Information

  • Provide, operate, and maintain the Service
  • Process transactions and send billing-related communications
  • Automate property management tasks (guest messaging, maintenance tracking, gate registration)
  • Generate reports, analytics, and market insights for your portfolio
  • Power AI-assisted features including the AI Agent and message drafting assistance
  • Improve and personalize the Service
  • Communicate with you about updates, security alerts, and support
  • Detect, prevent, and address technical issues and fraud
  • Comply with legal obligations

4. Google API Services — Limited Use Disclosure

RealtevoOS's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

  • We only request access to the Google data necessary to provide our Service features.
  • We do not use Google data for advertising purposes.
  • We do not sell Google user data to third parties.
  • We do not use Google data to build user profiles for advertising.
  • Google Drive data is accessed in read-only mode solely to display your documents within the RealtevoOS dashboard.

4a. Gmail API Usage

RealtevoOS integrates with the Gmail API exclusively to send emails on behalf of the authenticated user from their own Gmail account. All emails sent through our Gmail integration are:

  • Sent only to recipients with whom the user has an existing business relationship (e.g., signed management agreements, active property owners) or who have voluntarily submitted an inquiry form on the user's own website.
  • Never sent to purchased, rented, or third-party sourced contact lists.
  • Always include a visible unsubscribe link, allowing recipients to opt out of future communications at any time.
  • Controlled entirely by the authenticated user — our platform does not autonomously send emails without user initiation or explicit pre-configured automation approved by the user.

Email warming services are NOT provided for Google accounts or any other email service. RealtevoOS does not offer, suggest, or facilitate email warming, inbox warm-up, or deliverability manipulation of any kind.

Market Intelligence data (if subscribed) is completely separate from Gmail functionality. Market Intelligence provides informational property owner data displayed in a dashboard format. There is no integration, connection, or pathway between Market Intelligence data and the Gmail API. Users cannot send emails to Market Intelligence contacts through our Gmail integration.

4c. Prohibited Email Uses — Recipient Consent Requirement

Users are strictly prohibited from using RealtevoOS, the Gmail integration, or any email feature of the Service to send sales, marketing, promotional, or other commercial communications to any contact who has not provided prior consent to receive such communications.

By using the email features of the Service, each user represents and warrants that every recipient they email has either (a) an existing business relationship with the user, or (b) affirmatively opted in to receive communications from the user. Sending unsolicited email to prospects, purchased or rented lists, scraped contacts, or any person who has not consented is expressly forbidden and constitutes a material violation of these terms.

  • Users may not email any contact who has not consented to receiving sales or marketing communications.
  • Users may not import, upload, or email purchased, rented, harvested, or third-party-sourced contact lists.
  • Users must honor every unsubscribe/opt-out request immediately and permanently.
  • RealtevoOS reserves the right to suspend or terminate any account that violates this consent requirement.

This restriction applies to all email functionality within RealtevoOS, including but not limited to the Gmail API integration, in compliance with the Google API Services User Data Policy and the Workspace API User Data and Developer Policy.

4b. Unsubscribe & Opt-Out

All automated or semi-automated emails sent through RealtevoOS include a clearly visible unsubscribe link. Recipients can opt out at any time by clicking the unsubscribe link in any email, which immediately removes them from all future communications. Unsubscribe requests are processed instantly and are permanent unless the recipient explicitly re-subscribes.

To manually request removal, recipients may also email privacy@realtevoos.com with the subject line “Unsubscribe” and we will process the request within 24 hours.

5. Data Sharing and Disclosure

We do not sell your personal information. We may share data with:

  • Service Providers: Stripe (payments), Turso (database), Vercel (hosting), and other infrastructure providers that help us operate the Service.
  • Integrated Platforms: Data flows between the Service and platforms you connect (Guesty, Google, Stripe) as necessary to provide features you requested.
  • Your Team Members: Data may be visible to team members you add to your RealtevoOS account based on their assigned role and permissions.
  • Legal Requirements: When required by law, subpoena, or government request, or to protect rights, safety, or property.
  • Business Transfers: In connection with a merger, acquisition, or sale of assets.

6. Data Security

We implement industry-standard security measures to protect your information, including:

  • Encryption in transit (TLS/SSL) and at rest
  • Secure password hashing (bcrypt)
  • OAuth 2.0 for third-party integrations (no raw password storage for connected services)
  • Per-client data isolation — your data is not accessible by other clients
  • Regular security reviews and access controls

However, no method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. If you cancel your subscription, we retain your data for 90 days in case you reactivate, then permanently delete it. You may request earlier deletion by contacting us.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data
  • Export your data in a portable format
  • Withdraw consent for data processing
  • Object to certain data processing activities
  • Revoke Google account access at any time via your Google Account settings

9. Cookies

We use essential cookies for authentication and session management. These are strictly necessary for the Service to function. We do not use advertising or tracking cookies. You can configure your browser to reject cookies, but this may prevent you from using the Service.

10. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected data from a child, we will promptly delete it.

11. International Data Transfers

Your data may be processed in the United States and other countries where our service providers operate. By using the Service, you consent to the transfer of your data to these jurisdictions.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the “Last Updated” date. Continued use of the Service after changes constitutes acceptance of the revised policy.

13. Governing Law

This Privacy Policy shall be governed by and construed in accordance with the laws of the State of Florida, United States, without regard to its conflict of law provisions.
